SUMMARY Serves as direct link with guests and potential guests, primarily through phone correspondence.
Also communicates and works closely with the Catering and Sales departments to complete group room bookings.
ESSENTIAL RESPONSIBILITIES Maintain the Reservation function in an organized manner, processing all reservation requests, changes and cancellations completely and on a timely basis in accordance with established procedures and hotel standards.
Upsell the property to future and past guests by making reservations.
Review detailed daily arrivals and traces for guest requests and special occassion opportunities.
Schedule amentiy deliveries to guests.
Audit room type availability, ensuring we are not oversold in room categories; adjust as necessary.
Block suites and rooms in PMS as needed.
Process daily confirmations on reservations.
Continually train agents in Central Reservations office.
Cross train employees in Front Office.
Create Travel Agency accounts.
Troubleshoot all Travel Agency disputes.
Check Reservations booked for accuracy.
Assist the Revenue/Reservations Manager as needed.
Supervise all reservation functions when manager is not present.
In charge of decision making when Manager is not present.
Assist with forecasting and weekly/monthly reporting and responsible for these reports when Manager is not present.
Answer incoming telephone lines within first three rings.
Process group bookings, input room lists, and assist in maintenance of group block information.
Ability to assist and follow-up with Catering room requests.
Maintain a thorough understanding of the SMS computer system relating to room reservations.
Ability to process and maintain Synxis room availability and reservations.
Have a thorough knowledge of guest room accommodations and their amenities and other hotel departments, i.
e.
Restaurant, Room Service, Meeting Rooms, etc.
Be aware of current and future room availability in order to correctly quote room rates, process reservations and maximize occupancy and ADR daily.
Increase total sales and revenue per room through proper yield management.
Be familiar with all hotel policies relating to Front Office, Accounting and Reservations.
Assist in other Front Office duties as work load permits; Front Desk, registration, check-out, mail, messages, etc.
Accept payments and posts advance deposits.
Use credit card system for applicable hotel transactions.
Process no-show reservations according to hotel policy for guaranteed reservations.
Troubleshoots, problem-solves, and analyzes customer problems, following established guidelines.
Provide information in response to guest inquiries about the hotel area, tourist attractions, directions, etc.
Accommodate all possible guest requests, i.
e.
dinner reservations, taxi, etc.
Support, maintain and participate in other duties as determined necessary by supervisor.
COMPENSATION & BENEFITS Wage range:
$25/Hour - $29/Hour Eligible for medical insurance, dental insurance, vision insurance, and life insurance under our existing group plans Eligible for 401(k) retirement plan with employer match following 1 year of service under our existing plan 11 days of PTO accrued in the first year based on an employee working 40/hours each week

TECHNICAL/FUNCTIONAL CAPACITIES OF THIS POSITION Proficient computer skills, including MS Office Proficient in utilizing MS Word styles, templates, columns, and tables Basic knowledge of MS Excel Accurate and efficient typing Ability to accurately proofread Prefer basic knowledge SMS or similar PMS EDUCATION/VOCATIONAL EXPERIENCE The education, specialized training, required licenses or certifications and/or years of directly related experience required to enter this job:
High school diploma or general education degree (GED); and one to two years related experience in the hospitality industry.
